Staff Team Member: Financial Secretary

FIrst United Methodist Church is currently seeking to fill the position of Financial Secretary.

Position Expectations
The position of Financial Secretary requires an individual who is not only proficient in accounting procedures but also gifted in the area of human relations, since the Financial Secretary must be available to communicate effectively and constructively with debtors, creditors and contributors.

There will be occasions when the financial secretary will be required to make public reports on the financial condition of the Church and/or Preschool. Weekly there is a Staff Meeting and every Quarter there is a Church Council meeting.

Committee on Finance meetings are held at 7:00 p.m. the second Tuesdays of the odd numbered months and at other times when it is necessary to meet. There may be special called meetings from time to time that may require the participation of the Financial Secretary.

As with all individuals on the Staff, it is expected that this person would be a cooperative and supportive member of the team. (See profile of duties below)

Accountability and Covenant
The line of accountability following our accountability to Christ, is to the Pastors, the Staff/Parish Relations Committee when necessary, and the Church Conference. Relationship to the Staff/Parish is detailed in the Book of Discipline (Par. 259.2) for all Church employees. In the spirit of Biblical Covenant, the church is called to be a supportive, caring, loving community.

With that in mind, we see our purpose as far beyond just having a job. We have a calling that goes beyond contract. The nature of our work, requires us to be in continual prayer for one another, to communicate joys and concerns to one another and to seek a deeper level of relationship with Jesus Christ. Our work is to reach out to others with the Good News. Therefore, it is expected that all we do is in Service to Christ as we bring people to him.

Job Descriptions come and go, Godly covenants are eternal, even when we fail to meet the covenant, God never breaks covenant with us. It is in this spirit that we come and go in the Church of Jesus Christ. Each employee is expected to sign off on our Staff Social Covenant as well. Each Staff/Team member will be involved in on-going assessment. All staff of the church are required to have Criminal and HRS background checks.

Duties Profile

This position will require a working knowledge of accounting procedures, payroll procedures, employer/employee tax forms and computer knowledge and skills.

Comptroller Duties
Verify bills and invoices for payment and issue checks; (Arrange for checks to be signed by two of our designated treasurers/check signers of the Church.)

Computer Duties

Some of the above functions can receive assistance from volunteers - the Financial Secretary and any volunteers must be committed to confidentiality.

Preschool Oversight
The church operates a preschool which may require minimal hours per month for the Financial Secretary to oversee. Much of the Preschool financial procedures are done within that office and with their staff.

Other Duties
There may be circumstances when the Financial Secretary will have to assist in some of the duties of the Administrative Assistant in the absence but in consultation with the Administrative Assistant.

Hours of Employment
Approximately 25 to 35 hours - flexible time. The Financial Secretary must be in the office all day Monday and Tuesday unless otherwise arranged. The rest of the week is negotiable but needs to be set in coordination with the Staff/Team and be as consistent as possible.

Vacation / Time Off
The Employment Policy of First United Methodist Church is that: “Those employees who are not appointed ministers shall be entitled to two (2) weeks of vacation following one year of continuous service with First United Methodist Church.”

Further more, employees “ shall be eligible to Three (3) weeks vacation after five (5) years of continuous service and Four weeks of vacation following ten (10) years of continuous service. Vacation credit is not accruable from one year to the next. Vacations must be coordinated with the rest of the Team. Any unscheduled meetings that require the attendance of the Financial Secretary will be compensated with one half (½) day off per meeting.

Once the work schedule is set, it must be held to as strictly as possible, however, it is understood that extenuating circumstances do arise. Flexibility is allowed in coordination with the Senior Pastor and other staff/Team members. Accident or Sick Leave shall be granted to those employed a minimum of six months with paid sick leave accruing at the rate of one day per month employed to a maximum of thirty (30) days. Special circumstances can be discussed and considered by the Pastor and the Staff/Parish Relations Committee.

Maternity Leave
Six weeks without pay shall be granted. Any additional time must be excepted by the Pastor and the Staff/Parish Relations Committee.

Probationary Period
There shall be a 90 day probationary period where either party may terminate the employment arrangement. After 90 days, an evaluation will take place to determine the future relationship.
